Organize your files in folders


One of our handiest features is about to get much more powerful. The cloud resources feature that allows you to share common files and links with your users will now support the addition of folders. Folders allow you to organize your files and links, making finding a specific file easier and faster for end users. 

Access to a folder can be restricted to users in certain groups. You can only create one level of folders. This restriction is designed to prevent administrators from creating a resource library that is too complicated to navigate, thus ensuring an easy to use mobile user experience.

How to use it: In the Resources console you will notice a new folder tab. In this tab, you can create and manage your folders. The folders tab also permits you to set group permissions for each of the folders. To add files and links to a folder, the files and links tabs allow you to specify which folder a file or link should reside in. The root folder is accessible to all users and cannot be permissioned to a specific group. A new MicroApp will be released in conjunction with this server release to support this new feature.

Export group membership

Administrators can now export a group’s membership to a CSV file format.

How to use it: In the Users and Groups console, select the group you would like to export and click the Export Users button.

Messages export now includes like and comment data

The Export Messages feature has been enhanced to include message likes and message content data, allowing cloud comm admins and writers to view the message metadata in Microsoft excel or other tools.

How to use it: The process to export messages is the same as it was before this release. The only difference is the file downloaded contains two new sheets. Each comment or like has a message id associated with it. Use this ID to match the message in the message sheet.

Comment Notifications contain comment text


The first 300 characters of comment text will now appear in email and push notifications to message authors. This new capability allows authors to know the content of a comment without having to log in, making monitoring comments much more efficient.

How to use it: In the HTML client, go to your settings page by clicking the gear icon.  In the subscribe to email notifications section ensure that comments on cards I wrote is enabled. If this is already enabled, there is nothing more to do.

Deleting sent messages and changing audiences


Previously, when a message was sent to users, there was no way to change the audience. In this release, authors can now change the target group or channel after the message has been sent.

There’s also an easier way to delete sent messages: a ‘delete’ button is now right on the card, next to the ‘Edit’ button.

How to use it: To edit, navigate to the messages console, click ‘Edit’ on the message you would like to change the audience for. The edit screen now allows you to choose/change the channel and edit the groups that are targeted. To delete a message, just hit that delete button right on the card.

*NOTE: Push notifications are not available on the edit message action.
 

Set the time zone for an email digest recipient


You can now set the time zone for the delivery time of the cloud comm digest email.

How to use it: When adding a new recipient in the Digest section of the Cloud Comm Settings console, a new dropdown is available to allow you to select which time zone to use when sending the digest for the selected recipient.

*NOTE: This only applies to new digest recipients. You cannot edit existing recipients. To enable this for existing recipients, delete them and reenter their email address.
 

Send Message micro app with writer permissions


There's a new 'Send Message' micro app that respects an author’s permissions.

If you have the micro app deployed to a role, this update will be automatic.

Configure image caching to decrease load time and data use


Previously, Sitrion ONE clients would not cache any of the images, forcing a re-download every time. Tenant administrators can now set a cache value for cloud comm images which allows our clients to store the images from a user’s feed to avoid having to download them every time they see the image in the stream. This makes for a faster feed rendering and cuts down on data use.

How to use it: As a tenant admin, navigate to the Tenant Administration console and select Settings. Here you will see a new option allowing your organization to control how long the images should be cached for.

Users search improved


Tenant administrators can now search for a user’s full name (first and last) to further narrow a user search.

How to use it: In the user’s console of the tenant administration, type a full user’s name to narrow the results.

Sitrion is proud to announce integration with Box! Working with our awesome customer Fortune Brands, we’ve developed the ability to search and access your Box files within ONE. Sitrion supports the entire Box API.

Box is a leader in secure file sharing, storage and collaboration. Now, your employees can access and share Box files right in their employee app.

Why Box? Cater to users’ “Mobile Moments”
In order for an employee app to provide real value to your users, you’ve got to allow them to read and refer to relevant information while on the go. The Fortune Brands team knew that accessing critical files in Box was a perfect “mobile moment” of productivity to add to their app. Now employees can read files, play videos, and navigate to important links without leaving their employee app. File access can be customized to the user’s personal data, so they only see files and folders relevant to them.

Don’t compromise on security – or mobile access
Part of the reason Fortune Brands uses Box is to ensure security of their files. Accessing Box via ONE keeps security standards intact while still making things more accessible on mobile. Employees can access their Box files without logging into a Box account or having to enter any additional credentials.

Use Multiple Images on a News Card


Authors can now add multiple images to news messages they post.

How to use it: Upload multiple pictures to the new message screen. Please note that only the “news” card type supports this feature.

To add a caption for each image, click the Show Preview button. The first image will render on the summary view; all other images will render on the detail view of the card. Images will stack vertically in the order in which they are attached to the card. To change which image shows on the summary view, click Show on Summary beneath the image.

Users Page Updates


See group membership
 

The Users page now displays a new column indicating which column the user is a member of.


Export users to excel
The Users page now has Export to Excel Users button. This allows tenant admins to export the entire list of users in the system and includes all columns in the console view.

How to use it: Navigate to the Users page in Tenant Administration console. Groups will be found in a new column on the right and the export users button is available at the top of the list.

Identity Server Updates

Admins can Reset Passwords


For customers using Sitrion’s Identity Server Authentication, Tenant administrators can now reset users’ password from the Users page. Users will be sent an email indicating that their password has been reset and the instructions to setting a new password.

How to use it: Navigate to the Users page in Tenant Administration console. The password reset link will be in the Actions column for each user.

Edit Password Policy Setting


For customers using Sitrion’s Identity Server Authentication provider, Tenant administrators can now change their password policy via the Settings section of the Tenant administration.

How to use it: Navigate to the Settings page in Tenant Administration console. The “Edit Password Policy” button will show up at the bottom of the User Settings section. It may take a few seconds for the button to appear while the system determines if your tenant is configured to allow this feature. Once clicked, your administrators will be presented with a dialog to configure the policy requirements.

ONE Platform Release 1.44

Disable comments and likes on a post


In this release, authors will now be able to disable social interactions for messages they post. This will remove the ability for users to like or comment on the post. Tenant and cloud comm administrators can also grant this permission explicitly to authors via the permissions area of the Cloud comm console.

How to use it: To use this feature, all a writer needs to do is check the “Disable social interactions” message option found in the right-hand message options section.

Caption your images


Authors can now add captions for images. This feature provides publishers the ability to add context to the shared images. The captions appear centered directly below the shared picture.

How to use it: When adding an image to a message authors can optionally add text in the text box that appears in the image thumbnail.

Invitation Analytics report page now available to authors


Authors with the cloud writer permission can now view invitation analytics reports. These reports show who within their groups is inviting others to the mobile app and how effective these invites are.

How to use it:  Authors will see a new option on the left-hand navigation under the reports section labeled Invitation Analytics. This also requires the deployment of the 'Invite a Colleague' microapp in your tenant. If your tenant does not have the microapp and you are interested in leveraging this use case, contact your Sitrion Customer Success Manager and they will happily help you out.

Export reports to excel


Cloud Comm and Tenant administrators can now export metrics from the Confirmations, Polls and Messages reports to excel easily with one click.

How to use it: Navigate to the confirmations, polls or messages report pages and click the Export to Excel button on the bottom right to download an Excel version of the report. The messages report also is available to authors.

Viewing users is improved


Administrators' Users page has been improved, with faster performance and an ability to view a larger list of viewers at once.

Bring users back with new card notifications


This new feature is here to help drive sticky adoption with your user base. Users who have not logged in in a while will get a push notification indicating how many cards are waiting for the user.

The conditions for receiving the notification are as follows:

  • The user has logged in within the past 30 days
  • The user has not logged in within the past 10 days
  • The user has at least one new card in her stream since the last time this was enabled
  • The user has push notifications enabled

What's New

Search function optimized for language


The 'search' feature now uses smart rules to deliver better results based on the specific language of posts. For example: the search will return results with the plural form of the word unique to the language - so an English search for "mouse" will also bring up posts with the word "mice" in them.

Your ONE system has a default tenant language that is set from the Card settings page.

How to use it: this ability is active in search. In the admin console, set your default language and configure what languages you'd like to allow authors to create cards in. This give author a list of languages to pick from when they publish a message. When someone searches for content in this card, having the right language setting will make it easier for the search to return the right information.

Contact your Sitrion Customer Success Manager for further configuration and specifics around languages and search.

See who liked a post


You can now see exactly what users liked a post below the post. A user's name and profile picture will be listed together on the card.

How to use it: this feature is now live in your ONE system.

Close a poll without removing it


Sometimes you want to end voting for a poll, but you'd like to keep the results visible in the stream. You can now do this with the 'close poll' option. 

How to use it: this feature is now live in your ONE system. You'll see the 'close poll' option as a red button in the top right of the 'message details' screen for the poll card.
